Privacy Policy

This policy explains what information the ClearMind apps (Android, iOS and web at clearmind.meertech.tech) collect, why, and the choices you have. ClearMind is a task, notes and productivity app developed by MEERTECH (“we”).

Information we collect

Account information — your email address, display name, optional profile photo, and the sign-in method you use (email and password, Google, Sign in with Apple, or an anonymous guest account). If you use Sign in with Apple and choose to hide your email, we receive only Apple’s private relay address.
Content you create — tasks, projects, sections, labels, comments, reminders, notes, canvases, files you attach, habits, goals, journal entries, calendar events, applications and other items you add to the app, plus your app settings and preferences.
Activity in the app — records of completed tasks and changes (used for your history, streaks and productivity statistics inside the app).
Connected AI agents — if you choose to connect an AI agent (for example via MCP, the REST API or the CLI), we store a hashed access token, its name and permissions, and an audit log of the actions it performs in your account.

We do not collect your location, contacts, or advertising identifiers, and the app contains no advertising and no third-party analytics or tracking SDKs.

How we use information

To provide the service: store your data, sync it across your devices, show reminders, widgets and statistics.
To secure your account and prevent abuse (for example, revocable agent tokens and rate limits).
To respond to support requests you send us.

We do not sell your personal information and we do not use your content for advertising.

AI features

When you use an AI feature (such as the Iris assistant or the AI application reviewer), the text and items you submit for that request are sent to Google’s Gemini API to generate the response. This only happens when you use those features. Please avoid submitting sensitive information to AI features.

Where your data is stored

Your account and content are stored with Google Firebase (Firebase Authentication and Cloud Firestore), which acts as our service provider. Data is encrypted in transit (HTTPS/TLS) and encrypted at rest by Google. Reminders and widgets are prepared on your device. In the web app’s optional Local Workspace mode, data stays in your browser and is not uploaded.

Device permissions

Notifications — for task reminders and daily/weekly summaries (you can turn these off in Settings).
Camera / photos — only when you choose to set a profile photo.
Microphone and speech recognition — only when you tap the microphone to dictate a task. Speech is converted to text by your device’s speech service (on iOS, Apple’s speech recognition; on Android, the system speech service). We do not record or store audio; only the resulting text is saved, as part of the item you create.
Biometrics (Android) — version 0.3.0 declares this permission because of a secure-storage library; ClearMind never accesses biometric data, and later versions remove the permission.
Internet / network state — to sync your data.

Sharing

We share data only with service providers that run the app for us (Google Firebase for storage and authentication, Google Gemini for AI features you use), when required by law, or with people you explicitly invite to a shared workspace.

Retention and deletion

We keep your data while your account exists. You can delete your account and all associated data at any time from inside the app — see how to delete your account. Deletion removes your content, files, profile, agent tokens and audit log from our database and deletes your login.

Your choices and rights

You can access and edit your data in the app, export it (Settings → Data & privacy → Export on the web), disconnect AI agents at any time, turn off notifications, and delete your account. Depending on where you live you may have additional rights (such as access, correction or deletion); contact us to exercise them.

Children

ClearMind is not directed to children under 13 and we do not knowingly collect personal information from them.

Changes

We may update this policy. We will change the effective date above and, for significant changes, notify you in the app.
